Information from Constitution and Bylaws

The Club Constitution provides for our officers in Article III, Section 1.  Officers must be registered Democrats and current Voting members. The Constitution and Bylaws document is on the website, at this link.

The Constitution provides for Board members (called Trustees in the Constitution) in Article IV.

At our December 10 meeting, we will vote to elect Officers (President, Vice President, Treasurer and Secretary) and 5 Trustees.

All terms are 2 years, except 1 Trustee will have a 1-year term (this is the unexpired term created when David Goodman was elected to serve as City Leader).  In all cases, the term begins upon election.   The Officers and Trustees, plus the City Leader, comprise the Board.

What do we expect our Officers and Trustees to do?

Board members, of course, must be registered Democrats and current Voting Members.  We are a Democratic Club! They must be committed to our mission: to promote and develop the highest principles of the Democratic Party, to improve the administration of government, and to work for the good of all citizens.

Roles of Officers and Trustees

Officers - From the Constitution: "The duties of all Officers shall be those specified in this Constitution or the Bylaws and those usually pertaining to such offices."

As usual for presidents, our President prepares meeting agendas and generally organizes Club matters at a high level.  The President also prepares the newsletter.  The President organizes volunteers throughout the year, participates on various committees and plans and chairs Club meetings (board and member).

Role of the Vice President includes serving as parliamentarian and chairing meetings if the President is not at a board or member meeting.

The Treasurer handles the Club's PAC reporting to the Board of Elections (required multiple times a year), updates the member list as dues payments come in, prepares period financial reports for the board and pays bills.  (We are required by Ohio law to be registered as a PAC.)   This does not require an accounting degree, but prior experience in a treasurer or similar role is very helpful.

Related to our PAC, the Treasurer appoints a Deputy Treasurer, subject to approval by majority vote of the Board. The current Deputy Treasurer is Michael Bending.

The Secretary handles updates to the website and tasks like managing our membership intake form. Some computer skills are essential. The Secretary also keeps minutes of the board meetings.

Board - The Board consists of the officers plus the Trustees and the City Leader. From the Constitution: "The Board shall be responsible for the management and Program of the organization between membership meetings, in accordance with the Constitution and the By-laws."

Board members are expected to attend a monthly Board meeting.  We also expect Board members to attend monthly Club member meetings and events regularly, to plan or lead a project or event each year and to help withour Get Out the Vote work, such as canvassing or standing at the polls on Election Day.

If you are interested in serving on the Board or would like to discuss what is involved, please contact Stacie Snow at snows2k9@gmail.com or at 216-246-9120.

How to Nominate or Self Nominate - Deadline

Voting Members who would like to nominate another Voting Member or themselves for the Board must complete the form at this link.

Please submit nominations not later than November 20, to allow time for a member from the Nominating Committee to have a meeting (may be phone or virtual) with each nominee prior to the submission of the Nominating Committee's recommended slate.  The recommended slate will be published not less than 2 weeks before the December 10 meeting.  Nominations also may be made from the floor at the meeting. With the nominee's permission, a Voting Member may be a candidate by being nominated from the floor at the election meeting by at least 3 other Voting Members (oen nominating and two seconding).

Election

Election procedures are in the Bylaws at Section 5.

Election is by secret ballot unless there is no contest.

For election of each officer, the candidate receiving the largest number of votes shall be elected.  For election of trustees, the candidates receiving the largest number of votes for the number of positions open shall be elected.  (For this election, a Voting Member may vote for up to 5 trustees.)  In case of a tie, subsequent tie-breaking ballots shall be case as needed until the tie is broken.
